referral + reseal engine
ServiceM8 …

Home

The live pulse — who’s referring, what’s owed, and anything that needs you.

Active referrers

Recent customers

Reseals due & at risk

Every surface past a milestone, de-duplicated per household, most urgent first. This replaces the spreadsheet.

Network — customers, rewards & hot streets

Search anyone; click their referrals to walk the tree. Hot streets surface a ready-to-launch offer.

Hot streets

Select a customer.

Automation — what the engine is doing

Messages the engine queued at each trigger (dry-run — nothing has actually sent), and draft geo-ad campaigns for hot streets (never launched from here).

Exceptions

The only things that need a human. Silent unless something's broken.

How Extera works — start here

Everyone reads this. The whole system on one screen: how a job flows, what runs on its own, and what we do.

The flow

1
A customer arrives

Website form, phone call, a tech in the field, a referral link, or a walk-in.

2
It becomes a ServiceM8 job

Work as normal. Tick Sealing on the job — that one tick is what pulls it in.

3
The engine takes over

At Work Order it mints their code and links the referrer; at Completed it starts the re-seal clock — automatically.

4
You see it here

Reseals to chase, rewards to apply, exceptions to clear. No spreadsheet.

What the engine does — three moments

1 · Work order

Code minted

Quote accepted → the customer gets their own referral code. If someone referred them, that referrer sees $200 on the way.

2 · Completed

Sealed & clocked

Job finished → the guarantee and the re-seal clock start, and a re-book reminder is scheduled for the right time.

3 · Paid

Reward released

Invoice marked paid in ServiceM8 → the referrer's $200 turns from "on the way" into ready to use.

Your job — five things

  1. Tick "Sealing" on every seal or coat job. Name the coating in the description — glass → GlassProtect, driveway/stone/concrete → MineralProtect — so the right clock gets set.
  2. Capture who referred them. Via the link it's automatic. If they give a name or code, write the code in the job description and the engine links them.
  3. Apply their credit at quote. If a customer has a ready balance, take it off the job — up to what they've earned. It's a discount on their next service, not cash.
  4. Confirm verbal referrals. "Jane sent me" with no code lands in Exceptions — match it to the right customer so Jane gets her $200.
  5. Mark invoices paid in ServiceM8. That's the signal that releases a referrer's reward. Paid by bank transfer? Still mark it paid here.

Working this console

Home

Where you land — active referrers, what's owed, and recent activity. Job status is colour-coded: Quote W/O Completed.

Reseals due

Your call list — most overdue first, de-duplicated per household so you never double-call. This replaces the spreadsheet.

Network

The full database. Look anyone up by name, phone or code; see their referral tree, credit and re-seal dates.

Exceptions

The only things that need a human — usually a verbal referral to confirm. Clear them and the queue goes quiet.

What the customer gets — so you can explain it

The offer

Give $200, get $200 off your next service. It stacks up to $1,000. A referral only counts once it becomes a booked job.

Their private page

My Extera — no password. They enter their mobile, we text a private link to their code, QR and balance (ready vs on the way).

The share page

A "$200 off your first clean & seal" page they forward to a neighbour, with their name on it.

The re-seal promise

MineralProtect — re-seal check around 10 years. GlassProtect — 10 years on new glass, 5 on existing. Both carry the performance guarantee.

Coating tool — coming here

The Extera coating & jobs tool moves into this console as module two — so you run jobs here instead of in ServiceM8's slow interface. This is a placeholder; the build slots in once we bring the old platform across.
